Enterprise & Supplier Development Project Coordinator

Zevoli Growth Partners is looking for fulltime a Project Coordinator with a passion for delivering impactful corporate ESD programmes. The ideal candidate will be able to multitask in a fast-paced, deadline-driven environment.

JOB OBJECTIVES

  • To assist with the implementation of Enterprise Supplier Development (ESD) programmes. The Project Coordinator is responsible and accountable for supporting the Project Managers with coordinating the activities of ESD programmes by working collaboratively with SMMEs, clients, service providers and strategic partners.
  • To support Zevoli’s organisational and financial objectives by actively pursuing the long-term financial targets of the PMO division and the company, through effective, professional administration of ESD projects.
  • Ensure work outputs are of the highest quality by ensuring the use of appropriate methodologies, suppliers and standard operating procedures within the set budgets and according to clients’ expectations.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES:

Project Coordination:

  • Coordinate and manage project tasks and deliverables i.e.:
  • Monthly reporting;
  • Record minutes and disseminate to all attendees and ensure that actions are followed up;
  • Monitor and track recruitment requests and processes;
  • Assist in creating and editing project documents as necessary.
  • Prepare first drafts for all reports for internal and external reporting.
  • Setup meetings for site visits, meetings, training etc.
  • Coordination of SMME facing logistics and coordinating.

  • Carrying out or coordinating site inspections to various SMMEs and NGOs in rural and peri-urban areas.
  • Capturing project data and converting it into statistics for reports and infographics.
  • Adherence and improvement to project related tools, processes and templates.
  • Manage grand disbursements and financial reconciliations thereof.
  • Updating and maintaining Monday.com boards to track project progress and deliverables on a regular basis.
  • Ensuring that any risks to key milestones are captured and flagged accordingly.
  • Performing other duties assigned by the COO or Project Managers in an orderly and efficient manner.

Stakeholder Management:  

  • Manage SMME client relationships effectively and ensure client satisfaction.
  • Circulate surveys to SMMEs and report on feedback from SMMEs.
  • Coordinate the tasks and timelines of internal stakeholders such as Graphic Designers for client deliverables.

Time and Quality Management:

  • Ensure the use of project tools and templates implemented.
  • Prepare all client deliverables and related documents for sign off by Project Manager.
  • Update and maintain the project schedule, highlighting deviations in order to ensure that project timelines are adhered to.
  • Assist with implementation of quality process changes.
  • Negotiate for changes with internal team members if required.
  • Monitor and track assigned project progress on a daily basis and handle any issues that arise.
  • Record and update lessons learnt, risks and escalate to the Project Manager.
  • Compile progress reports on the status of the project and issues to the project managers.

EXPERIENCE, KNOWLEDGE, SKILLS AND ATTRIBUTES REQUIRED:

Experience:

  • 3 years of work experience in Project Coordination; or
  • 3 years of experience in a consulting environment with project-based work and online administrative or CRM systems.

Knowledge and Skills:

  • Able to multitask in a fast-paced, highly stressed environment, be deadline-driven and have the ability to receive and give direction;
  • Excellent communication skills, preferably multi-lingual with the ability to adapt the communication style to suit the audience;
  • Strong written and verbal communication skills. Attention to detail and visual appeal of documents;
  • Able to handle sensitive and confidential information with tact and diplomacy, using good judgement, discretion and professionalism;
  • Solid knowledge of project management principles;
  • Excellent time management skills;
  • Advanced understanding of business, policies and procedures;
  • Skilled user of Microsoft Excel, Word, PowerPoint, Teams;

ADVANTAGEOUS EXPERIENCE OR SKILLS (NON-ESSENTIAL):

  • Experience in ESD programmes implementation and assessing viability and sustainability of small enterprises;
  • Knowledge of Monday.com, or a similar PM platform;
  • Knowledge of PowerBI or a similar platform;
  • Experience in copywriting and proofreading;
  • Understanding of B-BBEE legislation and regulations.

PREFERRED QUALIFICATION:

  • Tertiary qualification (diploma or degree) in business administration, project management or similar;
  • Must have driver’s license.
